Position Summary

The Illinois Department of Children and Family Services is seeking an organized, professional, and results oriented individual to serve as Staff Assistant. Under administrative direction, this position will conduct a variety of special projects and provide leadership and coordination with other Employee Services managers regarding special projects and new initiatives. The position will provide assistance to the Deputy Director in managing and providing statewide oversight of employment functions within assigned divisions. Additionally, the position will act on behalf of the Deputy Director in interactions with the Director’s Office, other Executive Staff, and various external entities, such as CMS, the Governor’s Office, etc., and will attend meetings as a representative of the Deputy Director. This position provides a great opportunity for an organized, detail-oriented person who is interested in playing a key role in the operations of the DCFS Office of Employee Services. DCFS offers a competitive compensation plan, excellent benefits, and a pension program. The ideal candidate for this position will have excellent organizational skills and strong leadership skills. We invite you to join our innovative team to help make a positive difference in the lives of the children and families of Illinois.
 

Job Responsibilities

1. Serves as Staff Assistant for the Deputy Director of Employee Services
2. Provides assistance to the Deputy Director in managing and providing statewide oversight of employment functions within assigned areas
3. Acts on behalf of the Deputy Director in interactions with the Director’s Office, other Executive Staff, and various external entities, such as CMS, the Governor’s Office, etc.
4. Manages, reviews, tracks, and seeks approval from appropriate staff regarding requests for temporary employees
5. Serves as timekeeper
6. Verifies the validity of driver’s licenses for potential employees whose licenses were not issued by the State of Illinois
7. Manages the distribution of the Deputy Director’s incoming mail
8. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above

Minimum Qualifications

1. Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration
2. Requires two years of professional experience in a public or private organization

Preferred Qualifications

1. 3 years of professional experience in a human resources area of a public or business organization
2. 3 years of professional experience as an administrative assistant in a public or business organization
3. Completion of a bachelor’s degree in business administration, a business-related field, or human resource management
4. 3 years of professional experience serving in a liaison capacity for a public or business organization
