AV Equipment Coordinator

The AV Equipment Coordinator is primarily responsible for updating and maintaining equipment and equipment records for the Events, Video and IT Departments. The responsibilities for the AV Equipment Coordinator within the Events, Video, and IT Departments are as follows:
 
  • Takes full ownership of all responsibilities and processes related to equipment and inventory management as outlined below.
  • Support the Events, Video, and IT Departments to ensure that all Events, A/V and IT equipment policies and procedures are strictly followed and adhered to.
  • Manage inventory and conduct monthly inventory checks of Events, A/V and IT equipment and reports any discrepancies or updates to management.
  • Manage software license database.
  • Conduct equipment reporting to track usage and needs monthly, leading to end-of-year equipment data presented to Event Management, Video Management, IT Management, Account Managers, and Executive leadership.
  • Conduct regular equipment pulls for offsite events or shoots and closely oversee the entire reservation, check-in, and check-out process, including regular reporting.
  • Manage any personal equipment check out requests from Brella staff.
  • Assist IT with yearly computer purchases for the Event Department.
  • Assist IT with auditing a variety of administrative databases including inventory, machine updates and ant-virus reports.
  • Assist the archiving team with their process, including organizing files for archiving, archiving, data entry, cataloging, filing and retrieval.
  • Assist with the rental of A/V equipment for travel shoots
  • Monitor equipment to ensure that it is always kept in the best possible condition and repair needs are immediately flagged. The Inventory Coordinator will assist with minor maintenance issues as needed and replace broken or damaged items in a timely manner.
  • Monitor stock of accessories and expendables and replenish as needed.
  • Ensure that all equipment, kits, and studios are updated consistently with the correct standard-issue equipment, software, and peripherals. This includes studios assigned and located off of Brella premises.
  • Keep current on new technologies as they relate to management of equipment and make recommendations for new and innovative equipment and software.
  • Shadow and observe Events and shoots (whether live, virtual, or hybrid) to demonstrate a general understanding of the necessary functions of the Events and A/V equipment and software.
  • Attend weekly Production Meetings.
  • Fill in as production crew as needed for shoots and Event projects.
  • Performs other duties as assigned by Events, IT or Video Management.
  • This is not a remote/work from home position, though occasional work from home days may be possible.
Skills
  • Demonstrate strong technical knowledge of audio/visual equipment with troubleshooting experience
  • Basic understanding of signal flow with regards to audio, video, projection, and lighting
  • Occasional physical demands of the role will require to sit, stand, reach, lift, bend, kneel, stoop, climb, carry, push and/or pull items from 50 pounds or more.
  • Ability to successfully re-prioritize tasks in a moment's notice.
  • Must have excellent time management skills.
  • Strong computer skills including the ability to become proficient with new software.
  • Applicants must possess a current driver’s license and the ability to drive company vehicles.
  • Must be exceptionally detail oriented.
  • Must be highly personally organized.
  • Must be self-directed, with an ability to organize and manage assigned tasks.
