Cabinet Liaison for Internal Affairs

Position Information

Working Title: Cabinet Liaison for Internal Affairs
UW System Title: Administrative Program Specialist


Essential Job Functions

This position reports to the Chancellor and serves as primary support for internal initiatives on campus. This position acts as a senior advisor to the Chancellor and serves as a liaison between the Chancellor's office, Cabinet, and various internal constituencies. In addition to supporting the activities of the Chancellor and Cabinet, the Cabinet Liaison for Internal Affairs will attend meetings on campus with faculty and staff on behalf of the Chancellor and/or the Cabinet. This position is expected to understand the strategic goals of the university and work with the entire cabinet to advance initiatives.

This position includes the following responsibilities:
  • Manage internal projects as directed including planning, research, implementation, review, and follow up. Ensure a more integrated approach to internal initiatives that entail cooperative efforts with vice chancellors, deans, multiple divisions and colleges, etc.
  • Represent the Office of the Chancellor at meetings on campus. Prepare notes and take appropriate follow-up action.
  • Actively discuss internal strategy and provide primary support for internal goals of the university.
  • Maintain understating of the dynamics of a campus ecosystem and be able to work with the cabinet and constituents to move strategic initiatives forward.
  • Serve as Chancellor’s liaison to committees.
  • Participate fully as a member of the Chancellor's Cabinet and other key administrative/advisory bodies.
  • Draft and review Chancellor’s correspondence, develop responses, and finalize approved documents for distribution.
  • Coordinate commencement functions involving commencement speakers, Council of Trustees/Foundation Board of Directors, Chancellor Award winners, and other VIPs.
  • Maintain regular communications with the Faculty and Staff governance committees to ensure that the Chancellor stays abreast of their needs, issues and agenda.
  • Act as a spokesperson and contact for the Chancellor with all areas internal to the University.
  • Work with the Advancement Office to assure effective systematic donor relations procedures are in synchronization with the overall University objective of effective Chancellor/donor contact.
  • Work with records officer on maintaining the list of all approved campus records management personnel, and coordinate and schedule confidential shredding opportunities for campus.
  • Recruit, hire, mentor, supervise, and evaluate clerical staff and student workers.
  • Coordinate communication and preparation for meetings.
  • Maintain familiarity with donor database tools to assure the proper entry of important donor information resulting from Chancellor-donor interactions.
  • While working in a high-stress environment, maintain 100% consistently polite and professional relationships with the widely diverse individuals who contact the Chancellor's Office, including the occasional few who are angry or distressed.
  • Provide backup support for the Office of the Chancellor and Vice Chancellors in the absence of the University Executive Staff Assistant and student employees.


Qualifications

MINIMUM QUALIFICATIONS:
  • Bachelor's Degree at time of application
  • 3 years of related experience
  • Significant experience in higher levels of administration or higher education administration with demonstrated responsibility using superior judgement, diplomacy, and independence.
  • Project management experience, including demonstrated ability to work independently on projects, from conception to completion with minimal support staff.

Conditions Of Appointment

Some travel may be required for necessary meetings, workshops, conferences, etc. Occasional evening and/or weekend work is expected and will be assigned by supervisor as needed.

Position is a full-time Limited appointment. Official transcripts of the highest degree achieved will be required of finalist(s). A criminal conviction investigation will be conducted on the finalist(s). In compliance with the Wisconsin Fair Employment Act, the university does not discriminate on the basis of arrest or conviction record.

Salary

Competitive salary commensurate with qualifications and experience.

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
