Alumni Relations Student Assistant/Intern

Position Summary
This position performs a variety of administrative related activities related to alumni relations. Tasks include data entry, writing alumni correspondence, alumni research, event assistance and clerical assistance. This position requires a high degree of accuracy and attention to detail as this position’s work impacts the University’s management of gifts and relationships with alumni, and campus partners. This position manages confidential information that must not be distributed or divulged in any way except as required in the duties of this position.  
This position has daily interaction with campus leadership and community supporters. A high-degree of professional behavior and modest attire is required.  

SCHEDULE:
Academic Year: Up to 25 hours/week
Flexible scheduling

2. Essential Job Functions and Responsibilities
25% A. Data entry 
A1. Update alumni information in Raiser’s Edge donor database software
A2. Use copy machine electronic scanner to upload alumni documentation

50% B. Alumni Relations
B1. Prepare correspondence for alumni who are promoted, given an award, etc.
B2. Research information on alumni using internet, social media, and print sources
B3. Assist with special event preparation as needed
B4. Assist at events as needed
B5. Write articles for the alumni newsletter
B6. Write and communicate alumni updates for University Communications; to be shared online

25% C. Office administration and receptionist duties
C1. Provide back-up support to the University Advancement Administrative Assistant by sitting at the front desk from time to time, answering calls, handling walk-ins, all while providing excellent customer service to office visitors and callers
C2. Provide administrative assistance as requested by office staff
C3. Assist with mailing lists, spreadsheets, and other basic office tasks as required
C5. Create and maintain files, both electronic and hard copy for the department

3. Knowledge/Skills/Abilities
• Ability to manage multiple projects, self-prioritize, adjust quickly and easily to shifting priorities, meet deadlines and exercise good judgment
• Must have exceptional organizational skills and attention to detail
• Must demonstrate excellent written and oral communication skills
• Must have computer proficiency and the ability to use database, spreadsheet, and word processing software.  

4. Physical Demands
• Physical ability to sit at a desk and/or operate a personal computer for up to eight (8) hours at a time
• Mobility to work in a standard office setting and to use standard office equipment
• Physical ability to lift up to 20 pounds as carts need to be loaded and pushed across campus for University events.
• Hearing and speech to converse in person and over the telephone and vision to read printed materials and a computer screen.

5. Dress Code
• Attire, shoes, jewelry, and accessories must be appropriate and modest in length and coverage
• Appearance must reflect a positive image of the University
