Police Records Clerk

Are you someone that is skilled in keyboarding, highly organized with excellent communication skills and strong interests in working within a Police Department? Then we have a wonderful opportunity for you! We are currently recruiting for a full-time Records Clerk with our Fitchburg Police Department.  

As our Record Clerk, you will type, prepare, and file official police documents, dictate police reports, and other related documents. Ensure such records are kept in compliance with municipal, state, and federal laws. Decisions within the area of responsibility are made independently. There is frequent interaction with the public. 

As part of the recruitment process, you will be asked to perform a typing test - with an accuracy of 50 wpm.
 Responsibilities:Record Clerk Responsibilities:
  • Accurately and proficiently type incident reports from dictation using Records Management Software.
  • Type documents from draft copy or dictation including, but not limited to, memos; forms; and reports.
  • Accurately enters incident type codes, master name entries, property, vehicles, and other information into the Records Management Software.
  • Assemble and distribute reports to department staff and other agencies.
  • Maintain miscellaneous records, forms, and reports which are created and received by the department
  • Accept requests for release of records from attorneys, insurance companies, other agencies and citizens. Process requests for records in accordance with State statutes, municipal ordinance, and department policy.
  • Receive money for the release of records, fingerprinting, bike licenses, and photos. Accurately record all money.
  • Assist customers at counter providing direction.
  • Scan documents into Records Management System.
  • Professionally and courteously answer telephone requests for information and directing callers as necessary.  
  • Operate computer, scanner, copier, and printers.
  • Accept requests for live traps and secures money for the deposit on traps. Track and return funds when traps are returned.
  • Inventory, order, and maintain an adequate inventory of office supplies.
  • Perform year-end purging of records in accordance with State Statutes and department policy.
 Minimum Qualifications:Education and/or Experience Requirements:
  • High school diploma or equivalency required.
  • One year office/clerical experience with extensive typing exposure utilizing word processing and data entry programs required.

Light Work: Exerting 76-100 lbs seldom. Exerting 31-75 lbs occasionally. Exerting 0-30 lbs frequently. Frequently standing, walking and sitting. Seldom running.
 
Work Environment:
Inside: Protection from weather conditions but not necessarily from temperature changes. Inside work 95% of the time and outside work 05% of the time. Environmental conditions: Frequently exposed to computers and other electronic equipment (75 percent or more of the time).
