Financial Specialist Senior

Position Information

Title: Financial Specialist Senior

Essential Job Functions

This position reports to the Assistant Controller and is responsible for the monthly reconciliation of all campus controlled bank accounts. This position will prepare monthly adjusting entries and will assist with review, approval and posting of all journal adjustments prepared by campus departmental users. This position is responsible for financial support functions including paycycle processing, outstanding payment review, QuickBooks support and other areas as directed.

This position includes the following responsibilities:
  • Monthly reconciliation of the University's deposit account and all other campus bank accounts.
  • Reconcile bank deposits and withdrawals to Bursar daily deposit worksheets and general ledger.
  • Reconcile merchant statements to deposits as recorded on the Bursar records to the bank statement.
  • Maintain record of all NSF bank notices and reconcile to Bursar worksheets for monthly write-offs.
  • Initiate/coordinate with departments corrective entries.
  • Review outstanding checks and deposits to determine validity and take action.
  • Monthly review and reconciliation of outstanding checks in ZBA checking account.
  • Review and post all campus journal entries and provide department support
  • Process daily paycycle to print checks and initiate ACH transmittals.
  • Review, approve and distribute non student invoices.
  • Record payments received into QuickBooks in coordination with the Bursar Office.
  • Assist with collection of past due invoices and determine appropriate collection action.
  • Perform cash account audits of campus petty cash and change funds.
  • Perform quarterly off campus work-study billings.
  • Process void and reissue check requests.
  • Process and reconcile outside vendor printing charges.
  • Monitor and order office supplies.
  • Serve as cashier backup support during peak semester times.


Qualifications

MINIMUM QUALIFICATIONS:
  • High School Diploma at time of application
  • 2 years of experience with bank reconciliation procedures and general accounting principles

PREFERRED QUALIFICATIONS:
  • Associates degree in Finance or related field
  • Experience in a higher education environment

The successful candidate will have exceptional oral, written, interpersonal, organizational, time-management, computer, proofreading, and customer service skills; the ability to communicate with diverse constituents; and the willingness to work independently, as well as part of a collaborative team. This position requires the ability to manage multiple deadlines, projects, and priorities with attention to detail and exceptional accuracy; show excellent judgment, including sensitivity to personal and confidential information; and demonstrate flexibility and the ability to adapt to ongoing change. Good work habits, such as attendance, punctuality, accountability, thoroughness, and resourcefulness, are essential for this position.


Conditions Of Appointment

Position is a full-time University Staff appointment. The work hours for this position will be 7:45 a.m. – 4:30 p.m., Monday through Friday. 

A criminal conviction investigation will be conducted on the finalist(s). A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Salary

Hourly salary range of $18.03 - 19.00.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).
