DEPARTMENT SUMMARY
Americares Human Resource department takes a leadership role in providing service in support of Americares vision by promoting the concept that our people are our most valuable resource. We act as a catalyst to enable all Americares people to contribute at optimum levels toward the success of our humanitarian and public health program objectives. We provide programs, services and advice that help the organization attract, develop, motivate and retain a diverse workforce within a supportive mission-driven work environment. We do this with an emphasis on customer service based on consultation, best practice, and communication with Americares management and staff, globally.
 
POSITION SUMMARY
We are seeking an excited candidate and we’ll consider those with previous internship, academic or other work experience in human resources first. We are also interested in candidates who have international experience/interest, a curiosity about the global health sector and a passion for the mission of Americares. This position is located in our Stamford, CT Headquarters.
The Associate will support the HR team primarily in an administrative capacity in areas like recruitment coordination, onboarding and orientation, payroll & benefit administration, basic HR reporting, volunteer support and management, employee event planning and provide back-up support to reception when needed. The Associate will also have the opportunity to work on ad hoc projects, which can be shaped to match interests.
 
DUTIES AND RESPONSIBILITIES:
The Associate will provide support to the department in the following areas:

Recruitment Coordination
  • Provide assistance as necessary with various recruitment activities
  •  Manage recruitment and candidate files (organization of hard copy files, in Talent Center and SharePoint);
  • Assist with the scheduling and coordination of in-person and remote interviews, including room and technology set up when necessary;
  •  Assist with the posting and dissemination of open positions to various job boards, career centers, etc.;
  • Support the HR team with Americares volunteer and intern programs:
  1. Maintain volunteer applications and files (hard copy, in our applicant tracking system Talent Center, and SharePoint);
  2. Maintain volunteer metrics and track volunteer hours;
  3. Support recruitment efforts and oversight of Summer Internship Program;
  4. Conduct and lead new volunteer and fall/spring intern orientations and onboarding.

Onboarding and Orientation
  • Coordinate and schedule new hire onboarding meetings and new hire space preparation;
  • Coordinate new hire breakfasts and events;
  • Collect and verify all new hire documentation, including I9s, payroll and benefits enrollment forms;
  • Maintain new hire orientation curriculum sessions and attendance, providing reports and updates to Manager and Director for 30- and 90-day reviews;
  • Support the update and revitalization of the new hire orientation experience;
  •  Manage the updating of all onboarding workflows and portals in Talent Center.

Benefit and Payroll Administration
  • Support monthly premium bill processing and participant reconciliation;
  • Help support enrollment with carriers mostly through online enrollment portals;
  • Assist with multiple period payroll processing support (four payrolls per month on average) and administration of our NovaTime timekeeping system and timesheet generation for payroll period processing.

Employee Events and Recognition
  • Plan and coordinate HR led employee events and activities for:
  1. Monthly social hours;
  2. LT and CEO Roundtables;
  3. Holiday events;
  4. Milestone Mondays, work anniversary and service award celebrations;
  5. Ad-hoc events as they arise;
  • Work with Marketing and Communications as necessary to update welcome screens and other branded materials;
  • Identify and facilitate new engagement opportunities for staff as appropriate.

General HR Team Support
  • Maintain and update HR SharePoint, directories, and other staff listings;
  • Prepare other related reporting (HRIS, Applicant Tracking etc.) as necessary;
  • Respond to employment verification requests and volunteer interest requests;
  •  Support and coordination on travel related issues for staff, including booking and tracking flights;
  • Provide back-up support to Front Desk, when needed;
  •  Ad-hoc project requests as assigned.

QUALIFICATIONS:
Must Have Skills/Experience:
  • Bachelor’s degree or comparable work/internship experience, with a minimum 3.0 GPA;
  • Exceptional interpersonal skills and effective ambassador of HR;
  • Excellent oral and written communication skills; effective communicator;
  • Proficiency in Spanish;
  • Ability to demonstrate flexibility and adaptability in the face of ever-changing priorities;
  • Proficiency with Windows environment, particularly MS Word & MS Excel;
  • A valid driver’s license;
  • Must have unrestricted authorization to work in the United States.

Preferred Skills/Experience:
  • Exposure to Human Resources;
  • Exposure to any type of applicant tracking database; CSOD a plus;
  •  Proficiency or understanding of Microsoft SharePoint.
