Intern – Special Events

POSITION PURPOSE
Under the direction of the Events & Communications Operations Manager, the intern will observe and assist with various projects assigned by the Office of Communications / Special Events. At the conclusion of the internship, it is our objective for the intern to gain and/or improve upon his or her general communication skills, understanding of executing event orders, planning meetings and events of various size and scale, knowledge of conflict resolution, catering operating procedures and overall event execution, and will have fulfilled educational credit requirements.
 
ESSENTIAL DUTIES

Develop and maintain event mailings and RSVP lists, timelines and calendars. Set-up and run all mail merges of letters, labels, name tags, etc. as needed for events.

Keep accurate records and maintain databases for events sponsored by MCW

Works in collaboration with other communications and development team members, alumni relations office and other MCW departments to ensure consistency in all event materials, including invitations, program books, signage and PowerPoint presentations.

Assist in communications around event management including BEOs, timelines, calendars, diagrams

Complete Facilities Service Orders (FSO), room reservations and other booking systems as needed for events on campus

Schedule meetings and assist in event date coordination as needed

Maintain inventory of MCW promotional and signage material

Assist in on-site event execution to include set up, break-down and AV support

OTHER DUTIES

 Perform other duties as assigned. 

Preferred Schedule: 10 hours/week

Position Requirements:
EDUCATION AND EXPERIENCE

Education:         Student must be in good academic standing as an upperclassman in a bachelor’s level program or in a graduate level program in communications, events, or similar focus. 
Experience:         Light experience working with special events and/or project coordination
  
KNOWLEDGE, SKILLS, & ABILITIES

Excellent verbal and written communication skills in a professional setting. Professional demeanor and excellent human relations skills. Knowledgeable with Microsoft Office Suite. Ability to plan and organize work according to established priorities and work with deadlines. Ability to multi-task. Remain flexible to adapt to changing priorities.
