Program Assistant - Support a program that serves youth and families!

The primary responsibility of the Program Assistant is the general operations of the Contra Costa Community-Based Programs. The ideal candidate will have a high level of organizational and analytical skills, be able to prioritize projects, have strong writing and editing skills, excellent communication skills, and be a positive team player.

Responsibilities

  • Screen and direct telephone calls.
  • Greet and interact with clients, families and other visitors.
  • Maintain the safety, organization, and professional appearance of the office building.
  • Maintain office equipment and coordinate various office services.
  • Order and organize program supplies, including keeping kitchen organized and stocked.
  • Ensure smooth logistics for onsite meetings, trainings, events, and visitors including conference room reservations, written materials, meal planning and logistics, both in preparation and execution.
  • Maintain well-organized and accessible electronic and paper forms and files.
  • Process all mail, correspondence and information to and from the program’s office, including correspondence to and from the Program Director/Manager of Operations.
  • Manage program petty cash reimbursement and Program Director credit card expense report.
  • Compile and complete required program reports and scheduling.
  • Coordinate and collaborate with agency’s centralized department or other agency programs such as the Seneca Institute for Advanced Practiced and the Visitation Program.
  • Complete projects as directed by the Program Director and Executive Director
  • Commit to and engage in self-evaluation as well as organizational efforts goals, strategies, and systemic practices regarding diversity, equity and inclusion.

Qualifications

  • Bachelor's degree required
  • Excellent organizational, writing, and communication skills.
  • Strong time management, teamwork and customer service skills. 
  • Computer literacy, PC and Macintosh.
  • Valid California driver's license and insurance.
  • Clearance of TB test, fingerprints, and any other mandatory State/Federal licensing or certification requirements.

Schedule

  • Monday - Friday, 8:30am - 5:00pm
