Assistant Program Director

Organization: Boys & Girls Club of Portage County (non-profit, youth service)
Wage: $10.00-$12.00 per hour
Hours: 20-25 hours per week
Reports to: Operations Director/ Center Director

Position Summary: The Assistant Director is primarily responsible for leadership and management of the Boys & Girls Club of Portage County’s Site with the accompanying support and guidance of the Center Director/ Director of Operations. The Assistant Director position entails program staff supervision, development and performance evaluation, HR performance, program development and oversight, facility management, monitoring program and facility budget, partnership-building, marketing and public relations, and evaluating club member/parent relationship performance.

Position Requirements: Pursuit of a bachelor’s degree in education, sociology, psychology, communications, or other related field; great leadership, organizational, and communication skills; must be able to plan and lead activities; must be able to work independently as well as in groups; and must be able to meet deadlines.  

Primary duties for the Assistant Director:
  • Works with Center Director and other professional staff to provide new staff training and orientation
  • Plans & leads bi-weekly staff meetings
  • Works with Center Director on setting professional development goals with clearly defined and measurable program outcome/objectives 
  • Assists Center Director with annual performance reviews for site staff within a month.
  • Works with Center Director to ensures ongoing training and professional development opportunities for site staff
  • All staff are knowledgeable and trained to maintain the KidTrax Membership system, tracking daily attendance, registering members, orientation, etc
  • All key staff are trained in CPR & First Aid; quarterly trainings occur in the Club, e.g., guidance & discipline techniques, mandatory reporting requirements, gang updates, discipline, outcome reporting, etc.  
  • Seeks advice from with Center Director and or/ Director of Program Operations in the resolution of staff concerns or issues
  • Ensures that the Club site is offering quality youth development programs from each of the five core program areas that are fun, educational and enriching; programs are modified and enhanced to accommodate all age groups and both genders
  • Ensures that seasonal program newsletters are out to members in a timely basis 
  • New members are recruited to reach membership goals set by the professional staff team   
  • Club site and staff utilize a variety of recruitment techniques to achieve membership goals including school visits, business membership drives, special events, etc.
  • Assists in recruiting, training and placing volunteers to support overall program operations 
  • Program Participation and attendance tracking is kept up to date at all times 
  • When responsible, grant and program reports are completed in an accurate and timely fashion 
  • Creates & ensures the implementation of a daily & weekly cleaning schedule and each staff maintains a clean, neat and properly equipped program area; equipment is in good condition and/or repaired, replaced or removed immediately; supplies are stocked to meet program needs and/or ordered to be in place for to programs when they are scheduled to occur
  • Ensures that the overall Club environment is safe and inviting for all Club Members
  • Staff are trained in emergency & evacuation procedures; the Club is clean & well decorated; equipment is in good condition; program supplies are adequate & staff
  • Ensures that the Club environment provides recognition opportunities for Club members and staff; that program information is displayed
  • Works with School Sites Director to monitor program monthly expenses to ensure expenses are within budget projections
  • Pursues effective collaborative partnership with other agencies, schools, businesses, etc to increase the number of youth being served 
  • Establishes effective relationships with school principal and key school personnel to improve the delivery of B&GC programs and to recruit new members
  • Establishes effective and trusting relationships with club members and parents 
  • Works with School Sites Director to utilize Club website and other marketing strategies to build awareness of club programs and to recruit new members
  • Is involved in community groups, committees, service organizations that provide networking opportunities which in turn provide personal and professional development while also benefiting the Club
  • Works with the School Sites Director to ensure media releases are completed to build awareness and effectiveness of programs
  • Is involved in organization-wide special events and fund raisers
  • Is involved in Board of Director functions
  • Seeks advice from with School Sites Director and or/ Director of Program Operations in the resolution of conflicts with the school personnel, club members, or parents.

Additional Responsibilities:
  •  May participate in special programs and/or events
  • May attend field trips
  • Provide first aid
  • Assist in or handle special assignments or other duties as deemed necessary or important by supervisor
  • May need to sit in on meetings with parents

Skills / Knowledge Required
  • Experience in working with children
  • Ability to motivate youth and manage behavior problems
  • Ability to deal with the general public
  • Ability to implement quality programs for youth
  • Ability to organize and supervise members in a safe environment
